The Supply Chain Sample Coordinator is responsible for coordinating and executing product review milestones, such as the Top of Production (TOPs) process. This critical step involves issuing detailed and accurate product export documentation to ensure successful importation of POs, timely internal sample reviews to confirm product quality & accuracy, and communicating directly with the client to inform them of product status and details as needed. The Sample Coordinator will also support our global team by receiving, routing, shipping, and archiving all factory samples and details including assisting with related special projects across all materials plastic, stainless steel, ceramics, and glass.
This role directly supports the overall business by ensuring products are successfully received by the client meeting all customs, importation and client requirements. A high degree of detail and ownership of the process is required to validate production and ensure documentation is received without scrutiny by the client. The sample coordinator must leverage their product knowledge and apply strong decision-making skills to sift through nuanced information in pursuit of a single source of truth pertaining to the product(s) in question.
WHAT YOU WILL BRING TO THE ORGANIZATION
Product Export Documentation (52.5%)
- Own the facilitation of product importation via export documentation generation and sharing with client.
- Understand and convey nuanced product characteristics, claims and regulatory info to client.
- Analyze and audit info provided by cross-functional teammates to ensure accuracy to expectations.
- Develop & implement guidelines for change management by collaborating with cross functional teams.
Shipping & Receiving (18%)
- Receive & process inbound shipments including delivering directly to office recipient(s).
- Stock NPD sample bodega with inbound samples and notify team accordingly.
- Coordinate outbound shipment of parcels to proper destination with proper labeling/packaging.
- Optimize office storage and archive samples at offsite warehouse as needed; maintain inventory sheet.
Product & Sample Reviews (22.5%)
- Actively manage product reviews to ensure factory production meets approved standards.
- Initiate and drive corrective actions to address product non-conformances.
- Audit and assess accuracy of associated documentation pertaining to product(s) in question.
- Identify & convey opportunities for continuous improvement based on review findings.
Product Database Management (2%)
- Own & update customer facing databases in a timely manner.
- Respond directly to client questions and concerns; escalate to cross-functional teams as needed.
QA Projects & Support (5%)
- Coordinate documentation supporting factory setup activities working with Quality Manager accordingly.
- With QA Quality Specialist, provide direction to PM team regarding upstream product compliance.
- Support other QA team projects & initiatives on as needed basis.
SKILLS AND EXPERIENCE WE WOULD LIKE YOU TO HAVE
- High attention to detail, with the ability to review product samples and associated data for compliance to quality standards and provide approval or escalation decisions to team.
- Excellent written and oral communication skills; ability to communicate effectively and project a professional image when giving and taking information in writing and in person.
- Ability to take initiative and prioritize tasks; good time-management, organizational, problem-prevention and problem-solving skills.
- Flexibility and willingness to adapt to changing business needs and deadlines.
- Basic knowledge of and ability to use Microsoft Word, Outlook, Excel, PowerPoint, and other related systems.
- Good interpersonal skills with the ability to effectively work with individuals and groups at all organization levels – including international teams.
- Ability to respond effectively to sensitive inquiries or complaints.
- Ability to maintain confidentiality of sensitive information.
- As needed, work with local warehouse staff to acquire or store samples as requested.
- Maintain assigned sample room and storage facility spaces in clean and working order.
Education and Experience
- AA or 4-year degree required in quality, product, marketing, merchandising, or a related field.
- 1-3 years of experience in the consumer goods industry, retail sales, or creative industry preferred.
Interaction and Environment
- Work areas are inside in a climate-controlled environment with moderate background noise.
Physical Activities Required to Perform Essential Functions
- Sitting/Standing/Walking: Approximately 70% of time is spent working at a desk. Balance of time, approximately 30% is spent moving around work areas on feet using or manipulating samples with hands.
- Speaking/Hearing: Ability to effectively communicate with co-workers, customers, and outside agencies, by telephone and in person.
- Vision: Ability to effectively use a computer screen and interpret printed materials, memos, and other appropriate paperwork.
- Lifting/Carrying: Ability to transport and lift heavy boxes (approximately 50 lbs.), repeatedly. Must be able to lift boxes onto upper shelves, may require step stool.
- Stooping/Kneeling: Ability to access files and supplies, ability to pack, unpack and lift boxes off the ground.
- Reaching/Handling: Ability to input information into computer systems and retrieve and work with appropriate paperwork, equipment, and supplies. Reach upper shelves and lower shelves to extract samples and small parts.
Starting salary between $30.00-$38.00
