Job description

Job Purpose
Responsible for front desk reception, general office administration, managing pantry operations, liaising with building management, and overseeing the maintenance of office equipment.

 

Key Responsibilities
1. Reception & Guest Relations
Greet visitors professionally, manage registration, and notify relevant parties.
 Manage incoming/outgoing mail, couriers, and daily deliveries.
Maintain cleanliness of the reception area and meeting rooms.

Handle incoming calls and forward inquiries efficiently.  


2. Office Administration & Building Coordination
Act as the main contact for Building Management (repairs, air-con, fire drills, access cards).
Provide administrative support, including data entry, scanning, and filing.
Monitor and replenish office stationery and general utilities.
Manage meeting room bookings and event preparation.


3. Equipment & Pantry Management
Oversee routine maintenance of office appliances (refrigerator, microwave, coffee machines).
Keep an updated equipment inventory and coordinate repairs with vendors.
Supervise the Tea Lady / Cleaning staff to ensure high hygiene standards.
Manage stocks and procurement of pantry supplies (water, coffee, snacks, ).

 

Requirements
Experience: HKDSE / Form 6 or above, with 1–2 years of experience in reception or office administration. (Experience with building management or supervising cleaning staff is preferred).
Languages: Fluent Cantonese with good communication skills in English and Mandarine.
Skills: Proficient in MS Word, Excel, and Chinese/English word processing.
Attributes: Organized, responsible, and able to multi-task.
Excellent interpersonal skills with a mature approach to guiding frontline staff.
